During the analysis of 19 interviews with participants involved in the sales process, it became evident that document management, request tracking, and internal/external collaboration were the main pain points. Companies often struggle with data organization, relying on the longest-tenured employees as the primary sources of information. This reliance on individuals can lead to misalignment and inefficiencies, especially in early-stage companies where processes and controls may be lacking.

Improving Document Identification and Request Management:
To alleviate the burden of manually identifying relevant documents, a prototype tool was developed to create request filters. These filters allow users to automatically identify documents that meet specific criteria, such as employee contracts with a base pay over $150,000. While the tool proved to be effective, participants expressed frustrations with the terminology used, highlighting the importance of aligning tool language with the users' mental models.

Leveraging Machine Learning for Efficient Document Retrieval:
While a trained machine learning model was available to extract specified concepts from documents, most participants continued to rely on text queries. This reliance on manual searching stems from the perception that setting up multiple conditions and different phrasings in the tool's search functionality allows for a more comprehensive search. However, this approach may result in missing relevant documents. Participants also expressed the desire to manually spot-check the output, indicating the importance of human oversight in the retrieval process.
