After my grandfather passed away, we discovered the treasure trove of knowledge he had amassed on his computer. It was incredible to see the amount of information he had collected over the years. However, without any structure or organization, it was nearly impossible to navigate through his files. This experience sparked my interest in personal knowledge management and led me to explore tools like Roam and Notion.

The Importance of Personal Knowledge Management

Personal Knowledge Management is the practice of capturing ideas and insights encountered in our daily lives and cultivating them over time. It involves storing this information in a centralized and digital place outside of our forgetful brains. By doing so, we can benefit from searchability, backups, syncing between devices, and sharing with others. The key aspects of personal knowledge management are organization and searchability, both for oneself and for others.

Creating Systems for Organization and Productivity

For me, personal knowledge management is about having systems that make me as organized, proactive, and creative as possible. I have implemented the P.A.R.A. method, developed by productivity expert Tiago Forte, to organize my files. P.A.R.A. stands for Projects, Areas, Resources, and Archive. In Notion, I use a modified version called P.A.A. The goal of collecting and storing notes is to have a wealth of content readily available for creating various types of work, such as writing articles.

Utilizing Notion and Roam

While I don't do my actual writing in Notion, I use its databases to keep track of ideas and articles. Notion allows for multiple views, such as lists, tables, boards, and kanban boards, making it adaptable to different preferences and needs. On the other hand, Roam stands out for its simplicity, making it perfect for learning and writing. Roam's quick and easy page creation feature using the "[[]]" command is particularly useful while writing.

Importing Highlights via Readwise

To further enhance my personal knowledge management workflow, I utilize Readwise to import book highlights from Kindle, online content highlights from Instapaper, and newsletter/email highlights. These highlights are automatically imported into Roam, creating a centralized repository of valuable insights and ideas. Regularly engaging with these notes through tagging and thoughtful notes design is essential for maximizing their value.

Developing a Web of Ideas

To fully harness the power of personal knowledge management, it is crucial to intentionally link and connect notes together. By going through my notes regularly, searching for relevant tags, and collecting related content, I create a web of ideas. This web allows for easy navigation and retrieval of information, saving time and enhancing creativity.

Mindfulness and control are vital aspects of personal knowledge management. The Samurai's teachings emphasize the importance of minding one's mind, staying calm yet determined, and keeping death in mind as a constant reminder. Research supports the idea that training hard and imagining the worst-case scenarios promote calmness. Additionally, feeling a sense of control, even if it may not be completely legitimate, is a powerful way to combat stress and anxiety.
