"The Actual Work: Balancing Knowledge and Experience in Note-Taking and Collaboration"
In our fast-paced world, it's easy to get caught up in the act of taking notes without truly understanding and applying the knowledge we gain. We often miss the point of rephrasing and self-explaining what we consume, which hinders our ability to make connections and build upon what we already know. Taking notes is just the first step in the learning process; the actual work happens when we start playing and tinkering with our notes.
Building knowledge through note-taking is essential, but it's equally important to build up experience through practice and play. Actively thinking and engaging with our notes strengthens our understanding and allows us to discover gaps in our knowledge. It may even spark new curiosities and questions, leading to further exploration. To truly learn, we must find a balance between taking notes and using them, between building knowledge and experience.
To facilitate thinking and playing with our notes, we need a judgment-free space where we can freely muddle through our thoughts. One effective way to achieve this is by utilizing note-taking tools like Obsidian. Personally, I find two types of notes helpful in this process: vague-notes and thinking-notes.
Vague-notes are more random and open-ended. I create a new note, my vague-note, and randomly link it to an existing note. From there, I let my thoughts flow and write whatever comes to mind regarding that random note. This free-flowing process allows for unexpected connections and insights to emerge.
On the other hand, thinking-notes are more focused and specific. If I have a particular thought or idea that I want to explore further, I create a thinking-note. In this note, I jot down my thoughts, pull up related notes, and create links. I actively shape and refine my thinking, moving text, notes, and links around until I achieve clarity.
This bottom-up approach to note-taking involves continuously taking notes and connecting them until clusters of related information emerge. This method allows for organic growth and organization of knowledge. Backlinks, such as those found in note-taking apps like Roam, Obsidian, and Logseq, can provide valuable inspiration and help in organizing information.
While note-taking is essential for individual learning, collaboration is equally crucial for effective decision-making and problem-solving. However, many executives and teams find themselves overwhelmed with meetings and yet struggle to accomplish meaningful work. The COVID-19 pandemic has further highlighted the need for changes in meeting structures and cadence.
McKinsey's recent survey revealed that 80 percent of executives are considering or implementing changes in response to the evolving work landscape. Three critical collaborative interactions have been identified: decision-making, creative solutions and coordination, and information sharing.
Decision-making involves both complex or uncertain decisions and cross-cutting routine decisions. It is crucial to clarify who the decider is in each case to ensure fast and high-quality decisions. Involving more people in the decision-making process can be helpful, but not everyone should be a decider. Empowering individuals to make decisions within their areas of expertise is key to avoiding bureaucracy and micromanagement.
Empowering employees and spending more time on high-quality coaching interactions are key success factors in winning organizations. Effective coaching involves providing guidance and guardrails while allowing individuals to come up with their own solutions. This approach fosters employee engagement and allows leaders to focus on strategic priorities.
Information sharing is another important aspect of collaboration. Many companies are shifting towards shorter meetings, such as 15 to 30 minutes, to drive focus and productivity. Shopify's "No Meeting Wednesdays" is an example of a creative solution to promote individual projects and encourage creative thinking.
In conclusion, note-taking and collaboration are essential components of learning and effective teamwork. Balancing knowledge and experience in note-taking allows for deeper understanding and the discovery of new insights. Providing a judgment-free space for thinking and playing with notes is crucial in this process.
In collaborative settings, clarifying decision rights and empowering individuals to make decisions within their areas of expertise leads to faster and higher-quality outcomes. Effective coaching interactions further enhance employee engagement and enable leaders to focus on strategic priorities. Shorter, purposeful meetings and creative solutions like designated project time can also improve productivity and foster innovation.
Three actionable pieces of advice to implement in your note-taking and collaboration practices:
-
Embrace the balance: Don't solely focus on taking notes. Take the time to actively engage with and play with your notes to strengthen your understanding and make new connections.
-
Clarify decision rights: Clearly define who the decider is in different decision-making scenarios. Empower individuals to make decisions within their areas of expertise, avoiding bureaucratic bottlenecks.
-
Foster a coaching culture: Instead of micromanaging, focus on coaching interactions that empower employees to come up with their own solutions. Provide guidance and guardrails while allowing for autonomy.
By incorporating these practices, you can enhance your learning, decision-making, and collaboration skills, leading to more meaningful and productive outcomes in both personal and professional settings.
